Don't underestimate the power of your email service. Not only is it the part
of your online identity that people see most, but it is the number one means by
which you will communicate with your customers.
So, understanding how to best use email starts with understanding how your email
addresses are formed. The root of your email address is of course your website
(domain) name. You place either a department name, or a person’s name in front
of it, and separate the two with the '@' symbol. For example, let's assume your
website name is www.mycompany.com.
It is customary to create mailboxes named
service@mycompany.com, sales@mycompany.com, and perhaps admin@mycompany.com
just like most big businesses. Then, give your employees their own mailboxes.
While there are a number of formats, the most popular is 'first initial dot last
name". Some examples are j.smith@mycompany.com and m.harrington@mycompany.com.
And so once you have these mailboxes, how do you send and receive mail? Well,
Windows comes with free email software called Outlook Express. And, Microsoft
Office comes with the big brother to Outlook Express, called Outlook. Outlook
is often the better choice because you can store all of your customer street
addresses, phone numbers and so on, in its address book. In either case though,
getting your mail is easy.
Once you have entered the settings needed (we give
you easy, straightforward directions) the program will simply go get your mail
for you. But of course, there are times when you are on the road and need to
get to your mailbox. In that case, you can use any computer that's connected to
the Internet. With any browser, simply enter your website's name followed by
'/mail'. You'll be presented with a log in
screen. Enter your name and password. Bingo. . . you can read, reply, and send mail.
And, all Galileo Storms hosted accounts come with a free subscription list
service. This allows you to have a mailbox that you might call
news@mycompany.com. People can 'subscribe' to the service by sending an email
to it. But, when you send a message to the list, it automatically gets sent to
everyone. And, just like the big companies, recipients never see other
people's addresses in the 'To' or 'CC' fields. Of course, this is an excellent
way to send your customers announcements, news, specials, and promotional
information.
